This role provides high-quality executive and administrative support to the Europe CEO Office and the Revenue and Commercial Operations (RCO) leadership team. The position is split approximately 50/50 between supporting the Europe CEO and the Head of RCO. The Executive Assistant works in close partnership with the CEO Executive Assistant and provides cover when required, ensuring seamless operation of the CEO Office.
Responsibilities:
- CEO Office – Partnership& Coverage
- Work in close partnership with the CEO Executive Assistant to ensure alignment and continuity across the CEO Office.
- Provide backup support for the CEO Executive Assistant as required, including during planned and unplanned absence.
- Secretariat to the Full business committee once a quarter
- Share ELT whereabouts once a week
- Support Crisis Management Execution (ad hoc)
- RCOand CEO – Travel& Expense Management
- Coordinate complex international and domestic travel arrangements, including itineraries and last-minute changes. In the case of the CEO, coordinate changes with the CEO EA so actions can be executed in complete synchronization.
- Prepare, submit, and approve expenses on behalf of CEO and VP Head of RCO and in line with company policy.
- Proactively resolve travel-related issues to ensure seamless execution.
- RCOandCEO Office&RCO Team
- Support day-to-day operations and logistics for the CEO Office and RCO including managing meeting rooms, catering for meetings, locker management, etc.
- Coordinate onboarding for new team members, ensuring a smooth and consistent experience.
- Lead RCO operating cadence of team meetings agenda, offsites, and team related activities to build continued team culture.
- Partner with Facilities and Workplace teams on office logistics, desk planning, and floor management in the London office for RCO and the CEO and his EA.
- Manage purchasing card activity, stationery, and ad hoc operational requirements.
- RCO –Executive & Calendar Management
- Manage complex and dynamic calendars across multiple time zones.
- Establish and maintain a sustainable daily, weekly, and monthly rhythm of business with a clear forward view, including team meetings and offsites.
- Proactively identify and resolve scheduling conflicts using sound judgement and understanding of executive priorities.
- Ensure regular cadence meetings with direct reports and key stakeholders are scheduled and maintained.
- RCO –Executive Office & Stakeholder Coordination
- Serve as a trusted first point of contact for internal and external stakeholders.
- Coordinate high-level meetings and leadership engagements, ensuring executives are fully prepared with relevant materials.
- Draft, manage, and triage executive correspondence and requests, escalating as appropriate.
- Maintain the highest levels of professionalism, discretion, and confidentiality.
Qualifications:
- Experience supporting senior executives in a global, fast-paced environment.
- Exceptional organisational and time-management skills with strong attention to detail.
- Strong judgement, discretion, and emotional intelligence.
- Ability to manage multiple priorities, adapt to change, and remain calm under pressure.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
- Proactive, solutions-oriented mindset with a high degree of ownership and accountability.
- Ability to leverage AI tools and capabilities to proactively drive efficiency to the tasks at hand. Be an evangelist of AI adoption in the team.
Additional Information
- This is a hybrid role based in Visa’s London office.
- Occasional travel may be required.
- Working hours are standard business hours with flexibility aligned to executive needs.
