Zenix Aerospace Head Office Administrative Assistant
Administrative Assistant, working for a private-equity backed high growth global manufacturing business headquartered in the UK, which has already attracted a highly experienced executive team. The role will be based in Birmingham with an expectation of being on-site for the majority of your time.
About the Company
Sullivan Street Partners recently completed a carve-out of Senior PLC’s Aerostructures business. This covered five businesses / eight sites across the globe and will operate as a single Group headquartered in the UK.

Senior PLC operated a largely decentralized model, meaning the carve-out included no centralised divisional activity. This therefore represents an exciting opportunity to join a newly formed small HQ finance team who will manage the consolidated group.
Role Summary
Reporting to the Group’s Chief Financial Officer, you will be pivotal in enabling the executive leadership team to maximise their time by focusing on the right things at the right time, and ensuring the Group Headquarters operates effectively. The role will have two core components:
People Support; diary management, travel bookings, etc. to ensure senior leadership are always in the right place, at the right time, with the right information to hand.
Office Support; primary focal point ensuring the smooth running of the headquarters which is a fully serviced office facility.
This is an exciting opportunity for an individual to have a central role in a newly established headquarters. Due to the global nature of the role, there is an expectation that occasional flexible working hours may be required.
Role Specifics
· People Support
· Organise travel for Executive Leadership Team (“ELT”)
· Manage and prioritise diaries for ELT
· Gatekeeper to quality of information provided to ELT
· Assist with formalising meeting and travel agendas
· Support logistics for internal and external meetings
· Expense processing for ELT
· Provide general support to colleagues, including printing, scanning, and meeting preparation
· Office Support
· Support with hosting of visitors to the Group headquarters
· Triage emails sent to central email address
· Manage central ELT action list to ensure items are actioned as required
· Coordinate company marketing activities specifically; updates, posts and comments on Company website and LinkedIn together with 3rd party support
· Support preparation of documents, presentations, and reports with accuracy and attention to detail
· Organise airshow attendance including customer facing meeting schedules
· Relationship lead with serviced office provider
· Liaise with suppliers and service providers
· Process headquarters supplier invoices
· Collate Board papers
· Maintain office supplies, equipment, and shared spaces to ensure a tidy, functional environment
· Maintain organised filing systems (digital and physical)
· Assist with organising team events, and company activities
Requirements:
A resilient and composed individual who is able to establish personal credibility at an early stage with senior individuals. A meticulous attention to detail and methodical mind-set. Adept at managing multiple priorities and deadlines in a fast-paced environment.
· Able to exercise a high degree of professionalism and confidentiality
· Working knowledge of Microsoft Office
· Good EQ
· A hands-on approach to getting the job done and managing conflicting priorities
· Exposure to different stakeholders, with an appreciation of different cultures/styles
· Strong organisational and time‑management skills. Ability to prioritise and manage multiple tasks
· Clear, professional communication, both written and verbal
· High attention to detail and accuracy
· Proactive, service‑oriented approach
· Previous administrative experience is essential
