The Administrative Assistant will be a vital member of our democracy team, responsible for ensuring seamless workflow and smooth daily operations for two of our ongoing projects focused on the health of American democracy. Reporting to a Director on our democracy team, this role encompasses diverse responsibilities, including scheduling, communications coordination, and operations support. The ideal candidate is creative, adaptable, and capable of exercising good judgment while thriving in an entrepreneurial environment.
Responsibilities:
Scheduling and Administrative Support
- Schedule meetings and calls for Vice President and Senior Director, Democracy, provide scheduling and administrative support for two project teams, and proactively seek appropriate resources to support their work.
- Communicate effectively and professionally to both external partners and internal team members.
- Provide general project management support (e.g. meeting preparation, coordinating catering, researching venues, ordering supplies, etc.), particularly around events, meetings, and external communications.
- Take comprehensive notes and synthesize key takeaways and action items from internal and external meetings.
- Provide general project management support as needed.
Project Team Operations Support
- Contribute ideas for improvements to our internal systems (Airtable, Microsoft Office, Salesforce)
- Assist project teams with administrative tasks such as data entry and document management
- Assist with projects managed by project team leads
- Support project teams implementation with the firm’s knowledge management policies and procedures.
Event Coordination and Meeting Support
- Manage logistics around virtual event invitations/registration, including creating calendar invites, setting up Zoom lines, hosting calls, tracking attendees, and sending meeting reminders and follow up.
- Ensure project leads have the materials necessary for important stakeholder interactions.
- Edit recordings of virtual events and sharing with attendees.
- Source venues (e.g., restaurants and hotels) and vendors (e.g., audio/visual company, swag vendors, etc.) for in-person event needs.
- Plan in-person event details such as menus, room layouts, audio/visual, and hotel room reservations for attendees.
- Act as on-site coordinator and venue contact for events.
- Create event materials such as name tags, name tents, attendee lists, attendee bio books, etc.
Internal Engagement
- Tend to internal administrative items (e.g., emails/slack, timekeeping, expenses, HR).
- Participate in internal activities (i.e., full team meetings, peer learning communities, culture building activities, and regular check-ins with your supervisor).
- Engage in individual professional development/learning opportunities.
Qualifications/Requirements:
- 3+ years administrative experience.
- Genuine passion for providing outstanding hospitality and service.
- Comfortable working under pressure at times and accommodating last-minute changes and deadlines.
- You should have intense curiosity, an ability to ask the right questions, good listening skills, an eagerness to learn, an open mind, and resourcefulness.
- Exceptional task and time management and a high level of attention to detail.
- Forward-looking thinker who actively identifies areas for improvement in business operations and proposes solutions.
- Proficient in Microsoft Office suite of programs.
