Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional administrative skills and demonstrate a strong ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can maintain professionalism while ensuring smooth office operations and effective communication within the organization.
Duties
1. Executive Support
- Serve as the primary point of contact and gatekeeper for the CEO and COO, managing communications, inquiries, and requests with professionalism and discretion.
- Maintain and coordinate complex calendars for both executives, scheduling internal and external meetings, speaking engagements, and travel arrangements.
- Prepare and distribute agendas, talking points, and briefing materials in advance of meetings.
- Record, prepare, and circulate meeting notes, ensuring follow-up actions are tracked and completed.
- Handle confidential and sensitive information with the highest level of discretion.
2. Operational Coordination
- Support the COO in tracking organizational priorities, project timelines, and operational deliverables.
- Assist in preparing reports, presentations, and dashboards for internal and external stakeholders, including funders.
- Maintain organizational files, records, and databases to ensure accuracy and accessibility.
- Coordinate cross-departmental communications and follow-up to ensure smooth operational flow.
3. CEO Office Support
- Assist the CEO in managing strategic partnerships, donor relations, and high-level engagements.
- Draft correspondence, letters, and thank-you notes on behalf of the CEO.
- Coordinate logistics for public appearances, media interviews, and stakeholder meetings.
- Prepare research briefs and background materials for the CEO’s use in meetings and presentations.
4. Special Projects & Events
- Assist in planning and executing special events, fundraisers, and donor engagement activities.
- Provide logistical and administrative support for major initiatives and campaigns.
- Research and compile data for special projects assigned by the CEO or COO.
5. Administrative Management
- Oversee incoming and outgoing correspondence, ensuring timely responses.
6. Communication & Relationship Management
- Foster positive relationships with staff, partners, donors, and community stakeholders.
- Represent the CEO and COO in communications when appropriate.
- Monitor industry news and trends relevant to the Foundation’s mission to keep executives informed.
Requirements:
- Proven experience in an administrative or executive assistant role is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in office management software and tools; familiarity with DocuSign is a plus.
- Excellent proofreading skills to ensure all documents are error-free.
- Demonstrated customer service abilities with a friendly demeanor.
- Experience in event planning or coordination is advantageous.
- Ability to work independently while being a collaborative team player.
