About the Role:
We are seeking a highly organized, detail-oriented, and proactive Bilingual Virtual Assistant (English/Spanish) to provide comprehensive administrative support and exceptional customer service. This is a remote position requiring excellent communication skills, a strong work ethic, and the ability to manage multiple tasks efficiently. You will be an integral part of our team, ensuring smooth daily operations and fostering positive client relationships.

Responsibilities:



Technical Assistance Support:
Review technical assistance session notes and add entries to provider records to ensure service continuity.
Send email/phone reminders to providers about upcoming workshops and technical assistance sessions.
Manage and organize schedules, appointments, and calendars.
Handle email correspondence, draft communications, and manage inquiries.
Prepare documents, presentations, and reports using Google Workspace and other tools.
Maintain and organize digital and physical files and records.
Assist with data entry, database management, and record-keeping.
Perform other administrative tasks as needed to support the team.

Customer Service:
Serve as the first point of contact for providers and provide professional and courteous support via phone, email, and other communication channels.
Address client inquiries, resolve issues, and escalate complex matters appropriately.
Maintain a thorough understanding of our products/services and company policies.
Maintain customer records and ensure data accuracy.
Provide proactive communication to clients regarding updates or important information.
Ensure all communications and documentation are professional and error-free in English and/or Spanish (as appropriate).
Available to work regular U.S. EDT working hours (8am-5pm) with some nights and weekends.

Quality Assurance:
Review and evaluate technical assistance session notes to ensure compliance with expectations.

Qualifications:


Proven experience as a Virtual Assistant or in a similar role.
Fluency in both English and Spanish (written and spoken) is required.
Strong organizational, time-management, and multitasking abilities.
Proficiency in using office software and other relevant online tools.
Exceptional attention to detail and accuracy.
Strong problem-solving and decision-making skills.
Ability to work independently and proactively, with minimal supervision.
A reliable internet connection, international phone plan, and a suitable home office setup.
A positive and professional attitude.
